We need volunteers to help us make our event day an incredible experience for our guests. 


Volunteer Position: Day of Event Setup - Walk n Roll
Location: COLONIAL PARK: 539 ELIZABETH AVE., SOMERSET, NJ
Date: Sunday, October 13th
Time: 7 a.m - 4 p.m.

Role Overview: Join us in making the Walk n Roll event a success! As a Day of Event Volunteer, you will play a crucial role in preparing the event space, ensuring everything is ready for participants and guests.

Requirements:
Ability to lift and carry items up to 25 lbs
Comfortable working outdoors
Team player with a positive attitude
Punctual and reliable

CSHF WNR Zones/Roles Responsibilities

Registration Line 1 & 2: Pre-Registration

1. Set Up Registration Area: Tables, Rope & Stanchions, Square, Cash Box, iPads, Swag Bags, Signage (QR Code), Site Map, Participant Report, Waiver Sheets, Laptops

2. Check-in guests dependent on registration status (reference participant report)

3. If guest is not registered, register them on Walk4CSH.org

4. Distribute 1 Swag Bag per guest

5. Ask guests if they would like to make a donation to today's event

6. Break down & submit cash boxes to Janet (on late shift)

7. Locate extra food ticket booklets (folder); keep readily available

8. Explain Food Tickets to Guests (in swag bags). Accommodate guests that

 Registration Line #3: Unregistered Guests & Event Support (Volunteers/Staff/Vendors)

1. Set Up Registration Area: Tables, Rope & Stanchions, Square, Cash Box, iPads, Swag

Bags, Team Assignments (display), Site Map (display), Check-In Lists on clipboards

2. Download Square App (link & instructions in orientation packet)

3. Register guests who are not yet registered at Walk4CSH.org

4. Check-In volunteers/staff/vendors (list provided). Confirm zones/roles with volunteers (list provided). Confirm set-up area/zone with vendors (list provided).

5. Distribute one per volunteer: swag bag, shirt (many received before event)

6. Register volunteers & vendors; accept & process donations

7. Support Line #1 and Line #2 10AM-2PM (distribute swag/help with registration)

8. Break down & submit cash boxes to Janet (end of shift)

9. Review Emergency Plan with volunteers

 Registration: Line Wrangler                                                                                                                   

1. Set Up Registration Area: Tables, Rope & Stanchions, Swag Bags

2. Greet guests upon arrival and direct to correct line

3. Help unregistered guests register on their phones while on line

 Howe Athletic Complex                                                                                                                           

1. Assist police in parking

2. Greet guests as they park and assist them as they board the shuttle to Lot C

3. Answer any questions guests may have as they board the shuttle

 

 

 Lot D Shuttle Drop Off/BYO Picnic Drop Off                                                                                     

1. Greet guests as they are dropped off at Lot D

2. Direct guests towards the pathway to access Lot C

3. Assist guests who are dropping off their items for BYO Picnic

4. Unpack items for BYO Picnic and transport items from Lot D to BYO Picnic

5. Assist guests at the end of the event in packing and transporting items from BYO Picnic

6. Pack guests items in their cars as they arrive in Lot D

 Lot D VIP Meet & Greet                                                                                                                           

1. Retrieve VIP Checklist clipboard from Champions Tent

2. Greet VIP guests at Parking Lot D

3. Check off on guest list (retrieve list inside Champions Tent)

4. Direct VIP guests along pathway to Champions Tent

 Lot F VIP Parking Lot                                                                                                                                 

1. Assist VIP guests board the shuttle to Lot D

2. Answer any questions VIP guests may have upon arrival

 Champions and Top Team Tents                                                                                                           

1. Oversee setup of tent: Tables, Food, Team Assignments, Swag Bags on table

2. Greet VIP guests when they arrive at tent

3. Act as VIP concierge

4. Assist in tent breakdown upon event conclusion

 Hope Garden                                                                                                                                               

1. Set Up Hope Garden Area: Table, Signage, Flowers, Stakes Markers, Square, Cash Box

2. "Plant" flowers already written on

3. Assist in tent breakdown upon event conclusion

4. Submit cash boxes to Janet (Shift 2)

 Bark-Yard                                                                                                                                                     

1. Set Up Bark-Yard Area: Bowls, Water, Agility, Waste Bags, Table

2. Supervise Bark-Yard Area; Reset agility equipment as needed

3. Provide guests with water bowls, water & waste bags

 

4. Assist in zone breakdown upon event conclusion

 Heroes Tent/CSHF Ambassador                                                                                                            

1. Assist CSH departments/programs as they set up their respective tables and answer an

2. Set up CSH Foundation table

3. Staff CSH Foundation table and collect relevant guest information (enter their information

4. Assist in tent breakdown upon event conclusion

 Sponsors Tent                                                                                                                                             

1. Set Up Sponsor Tent: tables, chairs, tablecloths, sponsor table cards

2. Ensure sponsor representatives are set up

3. Assist sponsor representatives with anything they may need

4. Assist in tent breakdown upon event conclusion

 Touch a Truck/Kids Zone                                                                                                                         

1. Assist in area set-up

2. Assist with line management/guest activities

3. Co-manage TAT with vendors; curb risk (safe play)

4. Assist in zone breakdown upon event conclusion

 BYO Picnic                                                                                                                                                    

1. Assist guests with unloading their cars in Lot D

2. Deliver guests' items from Lot D to BYO Picnic Area while guests park

3. Upon guests arrival to BYO Picnic area, direct them to their items and assist with set

 

 

4. Assist guests in breakdown of items and transport back to Lot D for pick-up upon

 Hydration Station                                                                                                                                      

1. Assist in set up of two (2) hydration stations

2. Hand out KDP products to guests as they pass the hydration stations

3. Assist in breakdown of two (2) hydration stations upon event conclusion
